    What’s it for?

    If you’re asked to make a duty journey on an assignment overseas, you and your accompanying immediate family can choose to travel using your own private car instead of taking a flight.

    What do I get?

    The amount you can claim is capped at what you would have paid if you had travelled by air instead of driving in your own car. This includes plane tickets and travel costs to and from the airport. You can claim for ferry and toll costs as part of the claim, but not accommodation or subsistence.

    When can’t I use this?

    You can’t claim this allowance if you receive Service provided transport and/or tickets or if the MOD-approved form of travel to your destination:

    • is by aircraft that is operated by the RAF or MOD, or by a commercial flight where the MOD has block-booked seats. Examples of these places include Germany, Cyprus and the Falkland Islands

    • is by private motor vehicle or hire car, although you will be able to claim back your travel costs at duty travel rates for the most direct route.

    How do I claim?

    You need to complete an ‘Authority and Entitlement Certificate’ which can be found at Annex A to JSP 752, chapter 6, section 6 if it’s for yourself, or at Annex B if it’s for immediate family members. You should submit this to your Commanding Officer at least 6 weeks in advance of the date when you will be travelling. If you are required to proceed on assignment at short notice, and an assignment order has not yet been received, the written approval of the assignment authority must be obtained in addition to the CO’s approval.

    When you receive the authorised certificate back, it will including details as to the maximum amount you will be able to claim

    You should submit your claim via JPA iexpenses. More information can be found in the allowances and expenses user guide, which can be found at JPA user guides

    If you don't have access to JPA then complete JPA Form F016 (which can be found at JPA Forms) and submit it to your Unit HR Admin along with all supporting documentation including receipts.
